Castle Hill RSL Badminton Club BY-LAWS

1.         AGM – ELECTIONS :

§          Nomination Forms will be available when the AGM date is announced.

§          Any PRIMARY Adult member with minimum 12months membership continuing/leading into the date of AGM is eligible to stand for election except for:

o         members under 3 years debarment for Infringement /Disciplinary Action   (* backdated/retrofitted to 2005 when the Infringement/violation process was effected and Infringement Register was introduced)

o         ex-committee members under 3 years debarment for not serving out their full term of office (* backdated/retrofitted to 2006 when the By-Laws were updated/re-introduce to include an ineligibility clause.   This ineligibility affects ex committee members who did not serve out their full term of office from year 2006 onwards and resigned without reasonable cause and/or with poor performance records).

o         ex-committee members under 10 years debarment due to termination of their office by a vote of Committee

o         members under 10 years debarment due to termination of their membership by a vote of Committee.

§          A Candidate can withdraw from the election before the day of AGM by giving a written notice to the Secretary.   An absent Candidate without a written notice to the Secretary before the day of AGM is deemed to have withdrawn from the Election.

§          Nomination is closed 7 days before the day of the AGM.   The full list of nominations will be published by email/Website.

§          Nomination remains open on AGM day for those positions without Candidates.   Nominations remain open if 2 or less Candidates stand for the positions of non executive member of the Committee.

§          If more than 2 nominations received for the positions of non executive member, a vote will be held.   A Candidate is elected with a 50% or higher vote obtained from voting members present at the Election.   If more than 7 nominations,  the Candidates with the highest votes and not less than 50% votes from the voting members, will be successfully elected.   The Constitution allows for 2-7 non executive members and this vote provides the check/balance to ensure only Candidates supported by a majority vote at the AGM are elected.  

 

2.        COMMITTEE:

§          The President assigns/delegates duties/responsibilities to members of the Committee for the efficient running of the Club.

§          A member of the Committee can be suspended for failing to carry out his/her duties for a sustained period of time without reasonable cause,  sustained absentia from Committee meetings without apologies or reasonable cause, constant disruption and inappropriate behaviour internally and/or externally.   A suspension is decided by a meeting of the Committee.  

§          A member of the Committee is automatically stood down from the Committee once his/her Club Membership lapsed.

§          The President can be suspended or stood down by a motion taken at an extraordinary General Meeting.   The process for convening an extraordinary General Meeting and the passing of a motion as documented in the Constitution, section A iv.  

§          Complaints against a member of the Committee should be in writing to the Secretary or the President.   A formal reply will be given after due investigation and a meeting of the Committee.

 

3.         MODE of OPERATION :

§          Committee and volunteers are rostered as Duty Officers to supervise the Sessions, collect monies, provide shuttles and provide general administration. Complaints, infringements and injuries will be acted upon by the Duty Officer and a written log entered into the Register.   The action following as ruled by the VIOLATION/INFRINGEMENT process.

§          The Order of Play is ruled by the PEG QUEUING SYSTEM policy.  

§          The shuttle usage is ruled by the SAVE OUR SHUTTLES policy.

§          A Captain is appointed to supervise/lead any Team representing the Club.

§          Players representing the Club as ruled by the RULES of REPRESENTING the Club.

§          Internal Club competition as ruled by the   CHRSL CLUB  TOURNAMENT Guidelines.

§          Graded members with minimum 4 weeks of membership are eligible to enter any Club Tournament.

§          Grading of players is the responsibility of the Grading Sub-committee and is not subject to approval by the Committee.   A Player can appeal on his/her grading with written documentation to the Secretary and will be heard by the Committee.

§          Members are requested to help with the setting up, general cleaning and keeping away of equipment for each Session.

 

4.         MEMBERSHIP :

§          Membership contract as governed by Membership Form, signed by member and issued Club receipt with fees paid.

o         PRIMARY Adult Members are those who paid Adult Membership fees and registered with SBA as our Club members.   This includes full year Adult Members,   half year Adult Members, Life Members, Loyal Seniors

o         SECONDARY Adult Members are those who paid discounted membership to allow them to play in our Club without incurring visitor fees.   They are registered members of other club(s) and their SBA affiliation/Insurance registered with their Primary Club.   Insurance claims, club representations etc are with their primary club(s).

§          Inappropriate behaviour and/or infringements of Club policies/rules may be sufficient cause for the termination of membership before the expiry date or rejection of renewal of membership.   This will be decided by a meeting of the Committee.  No fees/refund will be entertained.
